About the Role
Sayari Earth is seeking a highly organised, experienced and proactive Project Coordinator to be based in Mossel Bay to support the coordination and administration of multiple projects across the organisation.
This role is central to ensuring that project work plans, task lists, deadlines, meetings, action items, and reporting processes are well coordinated and consistently maintained. The Project Coordinator will work closely with the Program Manager, Project Managers, field teams, and internal departments to support effective project delivery across Sayari Earth’s project portfolio.
The successful candidate will be responsible for tracking and assigning tasks, monitoring upcoming deliverables, updating project management systems, preparing meeting minutes and action items, setting up meetings, checking in with project and support teams to obtain progress updates, communicating upcoming deliverables and tasks to relevant team members, and assisting with PowerPoint presentations, reports, and other project documentation as required.

Key Responsibilities
Project Coordination & Administration
- Support Project Managers with the administrative coordination of project work plans, activities, deadlines, and deliverables.
- Track, assign, and follow up on project tasks across multiple teams and projects.
- Maintain accurate and up-to-date task lists, project trackers, registers, and work plans.
- Monitor upcoming tasks, deadlines, and dependencies, and proactively flag risks, delays, or required follow-ups.
- Support the coordination of project activities across different teams, including field-based and office-based staff.
Project Management Systems & Process Support
- Update and maintain project management platforms such as Zoho Projects.
- Assist with ensuring that project information is captured accurately, consistently, and timeously.
- Support the development and improvement of internal project coordination processes, templates, trackers, and workflows.
- Help streamline administrative systems to improve visibility, accountability, and follow-through across projects.
- Support the implementation of consistent project management practices across teams.
Meetings, Minutes & Action Items
- Schedule and coordinate internal and external project meetings.
- Prepare agendas, meeting packs, and relevant supporting documents as required.
- Record accurate meeting minutes, decisions, and action items.
- Track action items after meetings and follow up with responsible team members.
- Ensure meeting records and project documentation are filed and accessible.
Reporting & Documentation Support
- Assist with the preparation of project reports, progress updates, presentations, and internal briefing documents.
- Prepare and format PowerPoint presentations, spreadsheets, trackers, and written documents as needed.
- Support Project Managers with compiling inputs from different teams for internal and external reporting.
- Maintain strong attention to detail in document formatting, proofreading, and version control.
- Support grant, partner, investor, or management reporting processes where required.
Cross-Project Support
- Work across Sayari Earth’s project portfolio, supporting Project Managers and teams.
- Assist with coordination between project, science, land management, engagement, impact, finance, and administrative teams.
- Support the smooth flow of information between teams to ensure project activities remain aligned.
- Contribute to a culture of accountability, clear communication, and continuous improvement.
Qualifications & Experience
Required
- Formal project management certification is non-negotiable, such as CAPM, PRINCE2, PMBOK, PMP, or equivalent recognised project management certification.
- 2-3 years’ experience in project coordination, project administration, operations coordination, or a similar role.
- Experience using project management software such as Zoho Projects, Monday.com, Asana, Trello, MS Projects, or similar platforms.
- Strong administrative, organisational, and task-tracking skills.
- Excellent written and verbal communication skills.
- Strong ability to record meeting minutes, track action items, and follow up on deliverables.
- High attention to detail, accuracy, and document quality.
- Ability to manage multiple priorities across different projects and teams.
- Ability to take initiative and work proactively without constant supervision.
- Strong computer literacy, including Microsoft Office, Excel, Word, PowerPoint, Outlook, and cloud-based collaboration tools.
- Must be based in Mossel Bay or willing to be based in Mossel Bay.
Preferred
- Experience supporting project managers or multidisciplinary teams.
- Experience working in a fast-growing organisation or project-based environment.
- Experience in conservation, land management, climate, carbon, agriculture, rural development, or environmental projects would be advantageous.
- Experience preparing reports, presentations, project dashboards, registers, or management updates.
- Familiarity with process improvement, workflow design, or administrative systems development.
